Administrative Director
 

Summertrios is seeking a part-time Administrative Director to oversee and manage the administrative aspects of the organization, including finances, communications, social media, as well as planning and management of the Summer Workshops. Summer Workshops are typically held for 2 weeks in mid-late June. Physical presence at Workshops is required, but all other work can be completed remotely. Residence in New York state/tri-state area preferred. 

Job Duties: 

Year-round (10-20 Hours a week, remote) 

  • Oversee and execute all administrative aspects of the Summertrios organization 

  • Work as a team with the Artistic Director, meeting when necessary to formulate communications and language to reflect the Summertrios brand (i.e., for website, participant letters, evaluations) 

  • In collaboration with Artistic Director, Develop Workshop content and schedule 

  • Carry out communications with participants and faculty

  • Manage faculty contracts and payroll 

  • With Board Treasurer, manage finances and budget of the organization 

  • Manage all data of the organization including:

    • Databases of participants and faculty

    • Marketing/advertising data

    • Donor information 

    • Website maintenance 

  • Plan and manage registration portal, assist participants with registration questions and issues 

  • Serve as the first point of contact for the organization via phone and email 

  • Grant Writing, in collaboration with Artistic Director 

  • Implement fundraising campaigns, in collaboration with board fundraising committee 

  • Develop relationship with venues where the Workshops take place, including: 

    • Overseeing Venue reservation applications and contracts

    • Communicating with relevant staff at Workshop venue 

    • Purchasing event insurance on behalf of the organization 

  • Manage the organization’s Social Media 

  • Regularly update manual of administrative procedures

  • Attend monthly board meetings and provide regular updates to the board 

 

Summer Workshop (2-3 weeks, Full time, on Location typically Lancaster, PA. Housing and meals provided) 

  • Manage the on-site operations of the music Workshops (full-time, physical presence at the workshops required), including:

    • Venue interface (during event)

    • Responding to participant questions leading up to and during the events

    • Oversight of and assistance with arrivals/departures/travel

    • Room assignments 

  • Execute and communicate all scheduling during workshops, including rehearsals, classes, and other events as necessary 

  • Hire and Supervise interns and Workshop Assistant as needed 

  • Oversee stage management for concerts (manage interns)

  • Create and distribute participant and faculty evaluations following the workshops 

2- 3 years working in a leadership role for a nonprofit or performing arts organization preferred. It would be helpful for this candidate to have a musical background (ability to read sheet music and understand chamber music process). Candidate should be able to balance both the day to day tasks that are ongoing throughout the year, as well as a fast-paced environment during leading up to and during Summer Workshops. Volume of work increases in the months approaching the summer Workshops. 

 

Annual Salary - $19,000 with additional compensation during Workshops. Housing in Lancaster and meals provided during Workshops. Summertrios offers a partial Health insurance contribution.
